Cancellation policy

Cancellation within 50 days after the payment: 100% refund; however, cancellation over 50 days after the payment has a a cancellation fee (18,000JPY).


VISA

【VISA & Documents for Visa Information】
Please note that the VISA on ARRIVAL is NOT available at any airport in Japan.
It must be obtained in advance in each author’s country.

The Japanese Government reopened to accepting short-term business visitors from abroad on March 1. All visitors to Japan are required to obtain a VISA, and ICPOC25 will be responsible for the visitor and preparing the documentation, as well as a certificate of the ERFS (Entrants, Returnees Follow-up System).
The Author is now able to participate in ICPOC25 in Hiroshima on site.


As a rule, this procedure is applicable only to the authors of accepted abstracts who have already paid the registration fee through the conference registration system.
We only support visa application for attending the conference.


【The procedure is as follows】as of on March 23rd

1 To clarify who needs a Visa

VISA is required for all of overseas participants to attend the Hiroshima ONSITE.
There is no exemption.


2 Process for issuing the documents for visa application

Applicants should satisfy all the following conditions.
  1. The applicant is an author of an accepted abstract.
  2. The applicant has registered for the conference and paid the registration fee. Please pay 8,000 yen for visa materials preparation at the registration as well in the system.
  3. The applicant has booked the flight and accommodation.
    (Itineraries are necessary written from/to Japan and within Japan including attending ICPOC25.)
  4. The applicant has filled out the 2 visa information forms sent by the ICPOC25 secretariat.
  5. The applicant has to send the 2 forms and a copy of the photo page of your passport to the ICPOC25 visa support by e-mail.

3 We will return the below documents to the applicant by the EMS firstest post.

(Visa application documents which are written in Japanese)
  • letter of Reason for Invitation
  • Itinerary in Japan
  • Letter of Guarantee
  • Other necessary documents
  • Certification of ERFS (Entrants, Returnees Follow-up System)


4 The author applies to the visa at his/her country’s Japan Embassy / Consulate General with documents both prepared by the applicant and sent by the ICPOC25 secretariat.

The application must be done after April 10th due to the period of Visa validity (3 months).

※ Fees must be paid for the issuance of visas. The fees are about 3,000 JPY for a single-entry visa. Fees are collected in the currency of the country (region) in which the Embassy / Consulate General is located.


5 Obtain visa (Enter Japan within 3 months)

Quarantine

To clarify who must quarantine.
Depending on your country/region in addition to your vaccination condition,
the quarantine must be decided as the below.
Vaccination certificates Home quarantine period and other measures after entry into Japan

Certificate of Vaccination

  • Government and other public issuances
  • (In Japanese or English) Name, date of birth, name of vaccine, date of inoculation, and number of inoculations. If your vaccination certificate is not in Japanese/English, we recommend that you translate it into Japanese or English and bring it with you.
At the airport /FastTrack quarantine procedures are available at the following airports.
Narita International Airport, Haneda Airport, Central Japan International Airport, Kansai International Airport, Fukuoka Airport
You can pre-register for quarantine procedures until before 16 hours.

When you arrive at the airport, you will be asked to provide verification of documentation for your test result certificate for a test taken less than 72 hours before departure, your personal pledge, vaccination certificate and download the Mysos system to your smartphone etc.
Fast track can complete these formalities in advance.
